Job Purpose and Key Responsibilities
 
·       All the following is based on initial training and completion of the program provided. Some tasks will be viable immediately, and some over time upon reaching training milestones and gaining understanding of the system / products and business.
·       Receive and manage customer orders directly and or via sales teams or customer’s portals. Working within the team to control the shared inboxes to ensure emails are actioned appropriately and in a timely manner.
·       Be responsible for reviewing and processing customer orders following business guidelines in terms of manufacturing capacities across different factory plants.
·       Learn and understand how to recognise when customer’s orders or sales bills of materials and product codes don’t present correctly and initiate a conversation with whoever supplied the order so it can be rectified, before processing to ensure the success of the customer’s order.
·       Multi-tasking, being able to handle multiple customer orders and queries in progress whilst working on new incoming orders within a busy environment.
·       Initial expectation is for the individual to learn how to navigate the SAP system and understand what orders look like, how customer orders and codes present, and how we enter them onto the system and recognize what journey they then follow through to completion and invoice.
·       Ensure all customer data and documentation is stored correctly and in line with GDPR regulations.
·       Comfortable using a broad range of communication styles and chooses the most effective way to communicate in various situations, clearly and accurately in a respectful tone and manner.
·       Accuracy and adherence to policy when handling customer orders and queries.
·       Update and retrieve information on a variety of customer portals and platforms.
·       Ability to offer improvements to process within team and wider Whittan team.
 
 
Key Working Relationships
 
Closely with Order Processing, Supply Only & Installation Customers Service teams, Internal department, Sales teams and outside suppliers.
 
 
Qualifications /
Skills & Experience
 
Essential
·        Minimum A-C grade Maths and English
·        Available on a full time, permanent basis
·        Basic knowledge of Microsoft office
·        Excellent data entry skills 
·        Good Telephone manner, polite and confident
·        Team Player
·        Good time management skills
·        Can multitask and manage/prioritise own workload   
 
Desirable
·        Basic working knowledge of SAP
·        Holds a full and valid UK driving licence
